The Accounts Receivable Clerk is responsible for performing a
variety of accounting duties in the Research & Resolution area
according to established policies and procedures.
Primary responsibilities include day to day activities such as
timely cash application, collections, invoicing, researching,
clearing deductions and assisting other staff. Applicant must be
organized, detail oriented, able to learn quickly, experienced and
comfortable with a fast paced environment. Experience in accounting
and/or working with receivables in a corporate, retail and/or
wholesale environment and high work ethic is required.
Post and reconcile customer payments by entering transactions
from lock box, manual check deposit, ACH and Wires. Research and
resolve unapplied cash.
Research and validate deductions identified through cash
application and determine resolution needed to clear them. This
process includes tracking deductions, preparing and reviewing
support documentation, and working with other departments to ensure
that the deduction is valid.
Communicate with customers to ensure that invoices have been
received and are paid on time. Communications will involve
requesting past due payments, providing PODs, clarifying
charge-backs, deductions, allowances, and following up on previous
Prepare credit memos for any approved adjustments such as
shortage, price discrepancy, prompt pay discount, promotion,
damaged item credit, duplicate invoice, uncollectable write-off,
etc. Prepare debit memos to invoice or re-invoice customers for any
approved adjustments needed to correct the original invoice.
Enlist the efforts of Sales department and senior management
when necessary to accelerate the dispute resolution process. Assist
department manager with challenging collections cases, summarizing
complex situations, reporting, new customer credit evaluation,
internal and external audit, process improvement initiatives and
other ad hoc assignments.
Other duties will include filing, scanning, pulling support
documentation from internal and customer portals, handling calls
from internal and external customers and other assignments
designated by the department manager.
Qualifications and Experience:
- High School Diploma or equivalent required. College degree or
attendance of college classes preferred.
- Minimum two (2) years of research, resolution and/or
collections experience in a fast paced/high volume
- Understanding of core accounting principles such as credit and
debit payments, general ledger accounting, and collections
- JD Edwards and Sage financial system knowledge highly
- 10-key and minimum 50 wpm typing required.
- Ability to remain calm and efficient in a fast paced

(verbal/written) and conflict resolution skills required.
